How to Create and Manage Order/Quote Fields

This article describes how to create and manage Order/Quote Fields.

Order Fields are customizable fields that are utilized by Order and/or Quote Forms to collect information from Order or Quote submitters. Order Fields must be created prior to creating an Order/Quote Form and are inserted during the Order/Quote Form creation.

How Order/Quote Fields are Used by Order/Quote Forms

The below screenshot details how each type of Order/Quote Field can be used within an Order/Quote Form.

Each Order/Quote Field type can provide multiple functionalities within an Order/Quote Form. For example, the Text Fields below are used to collect Organization Name, First & Last Name, and Ship To.

How to Create a New Order/Quote Field

  1. Within Documoto Admin Center, go to Storefront Admin > Order/Quote Fields.
  2. Click +Add.
  3. Type the Order Field Name in the text field. 
  4. Select the Type from the dropdown. 
  5. Configure the Field Definition on the right.
    • NOTE: All fields outlined in red are required. 
  6. Under Translations, type the Name of the field that will appear on the Order/Quote Form
  7. Click Save.

How to Configure Order/Quote Fields

Each Order/Quote Field Type has its own unique Field Definition configuration options, which are configured as part of Step #5 above. This article section details the Order Field Types and their available Field Definition configuration options. 

Field Definition Overview

  • Default Value: Allows admin users to type a value that the field will automatically default to unless edited by the form submitter.
  • Required: If enabled, these fields must be completed in order for the form to be submitted.
  • User Editable: If enabled, the User will be permitted to enter the information. Admin Users may chose to disable this option if Users should not be able to alter the information in the field, i.e. the Date. 
  • Display in Orders List: If enabled, lists the selected order/quote field to be displayed in the Order History table (Account > Orders)

Text Field

Provides a single line field that allows end users to input text information. 

Field Definition Options: 

  • Default Value
  • Required (toggle on/off)
  • User Editable (toggle on/off)
  • Display in Orders List (toggle on/off)

Text Area

Provides a multi-line field that allows end users to input text information. Common use cases for this Order Field Type include Notes or Comments.

Field Definition Options: 

  • Default Value
  • Required (toggle on/off)
  • User Editable (toggle on/off)

Label

Allows admin users to add non-editable text to the Order/Quote Form. Common use cases for this Order Field Type include company information, such as phone number and address, or form section headers such as: billing and shipping information. 

Field Definition Options: 

  • Display in Orders List (toggle on/off)

List Box

Provides end users with a drop-down list of values to select from - which are configured by an admin. A common use case for this Order Field Type is Freight Carrier, such as: LTL Best Way, UPS Ground, UPS Next Day Air, & USPS. 

Field Definition Options: 

  • List Values

To Configure List Box Values: 

  1. Click +Add at the top of the Field Definition section. 
  2. Type a unique Name.
    • NOTE: the Name is an internal only field, but typically is identical to the Translation. 
  3. Under Translations, type the Name of the List Box Value that will appear on the Order/Quote Form.
  4. Click Submit.

Address

Collects address information from end users, with the option to pre-populate address fields with Organization and/or User addresses that have been configured in Admin Center.

Field Definition Options: 

  • Address - To configure address, use the dropdown to select ORGANIZATION, USER, BOTH, or NONE.
  • Required (toggle on/off)
  • User Editable (toggle on/off)

Date

Provides a date picker that allows end users to select a date. Common use cases for this Order Field Type include Order Date or Desired Ship Date.

NOTE: in the Order/Quote Form, the date picker will default to 
the current date.

Field Definition Options: 

  • Required (toggle on/off)
  • User Editable (toggle on/off)

Email List 

A field that allows the end user to add one, or multiple, email addresses in a list format. 

Field Definition Options: 

  • Required (toggle on/off)
  • User Editable (toggle on/off)

Order Number

A non-editable field that is automatically populated with the unique Order Number assigned to an Order/Quote upon form submission.

Field Definition Options: 

None

Horizontal Line

A formatting option that allows admin user to add a horizontal line to the Order/Quote Form. A common use case for the horizontal line is to create sections or group related information in the Order/Quote Form.

Field Definition Options: 

None

Logo

Allows an admin user to add a logo to the Order/Quote Form. The logo that will be inserted is the Print Logo, which can be configured in Library > Styles.

Tag

Allows an admin user to create a field that is pre-populated with a Tag Value, from existing Tenant, Organization, and/or User Tags.

How to Make Updates to an Order/Quote Field

  1. Within Documoto Admin Center, go to Storefront Admin > Order/Quote Fields.
  2. Search for and select the Order/Quote Field you wish to make updates to.
  3. Make updates to Name, Translations, or Field Definitions as desired.
    • NOTE: If you change the Order/Quote Field name, be sure to update any Order/Quote Forms or Email Formats that use this field.
  4. Click Save.

How to Delete an Order/Quote Field

  1. Within Documoto Admin Center, go to Storefront Admin > Order/Quote Fields.
  2. Search for and select the Order/Quote Field you wish to delete.
  3. Select the trash can button to the right of the Order/Quote Field item. 
  4. Click Delete in the window to confirm.
NOTE: If the Order/Quote Field is currently being used in an 
Order or Quote Form, the trash can icon becomes unavailable.
To delete the Order Field, you must remove it from all Order/
Quotes Forms it is currently being used in and then follow the
steps outlined above.
