How to Configure Search Settings

Search Settings control tenant-wide search search behavior, features, and results. Search Settings are leveraged for configurations that affect the search and filtering experience within the Documoto Library. For a detailed list of those options, this article identifies those settings and some use cases.

In order to access these settings, you must belong to a User Group with Tenant Admin privileges enabled.  Please use care when making changes to these settings, as updates will impact all users.

Accessing Search Settings

  1. Within Documoto go to Admin > Admin Center > Library > Search Settings

Search Setting Controls

  • Enable / Disable: Each setting includes an enable / disable option represented as either a toggle, button bar, or checkbox. 
  • Default: Default at the tenant level will inherit Documoto system defaults. System defaults for each setting are described in the following sections. 

Search Results Configurations

Below you will find a list of Search Results Configurations that are available, along with information on system defaults:

  • Updated A-Z

Default Most RelevantShow Identifier in Search

When Disabled, this setting disables Media Identifiers and Part Numbers from displaying in Search Results

Default EnabledHide Books in Search Results & Recently Added

When Enabled, Books will not be returned in Search Results, displayed in Recently Added, or appear as a Type option in the search result filter.

Default Disabled. Hide Pages in Search Results & Recently Added

When Enabled, Pages will not be returned in Search Results, displayed in Recently Added, or appear as a Type option in the search result filter.

Default Disabled. Hide Parts in Search Results & Recently Added

When Enabled, Parts will not be returned in Search Results, displayed in Recently Added, or appear as a Type option in the search result filter.

Default  Disabled.

Search Features

This setting can be used to hide the Go to Search button on the Documoto library landing page.

Default Enabled

Tag Search & Filtering

Tags Search & Filtering settings allow Administrators to easily configure the search and filtering options for a tag via a grid. This scrollable grid shows all tags within the tenant and allows for configuration of each. Information contained within the grid that is not configurable from this view are Tag Name and Entity Type. The configuration options are detailed below.

This setting can be used to enable a Filter to display all available filters (e.g. tag values) as checkboxes within a list in the Library.

System Field Search & Filtering




The System Field Search & Filtering settings grid allows Administrators to configure which System Fields should or should not be Searchable, Filterable, and Pinned in the Documoto Library. Admins may also configure the Search Boost to boost the relevancy of search results for any of the System Fields. These System Fields include: 

  • Media Description
  • Media Identifier
  • Media Name
  • Page Description
  • Page Filename
  • Page Name

For example, an Admin could uncheck the Searchable box for Media Identifier if that information is irrelevant to end users. This will require them to search by the relevant and designated system Fields

Filterable System Fields

The System Field Search & Filtering settings grid also includes three (3) System Fields that are not searchable, but can be configured to be Filtered and/or Pinned in the Documoto Library. These System Fields include: 

  • Categories
  • Organization
  • Type
