How to Create or Update Parts in Bulk

Publishers can now complete a Parts Bulk Import using a guided modal (XLSX upload, template download, and overwrite options). This method of publishing parts can be used to create new parts in Documoto or update part data for existing parts.

How to Access the Parts Bulk Importer

Only Users with Publishing/Admin permissions have access to the Bulk Importer via the Content module.

In the Admin Center:

  1. Click Content in the left navigation menu
  2. Select Parts
  3. In the upper right, click Bulk Import

How to Complete a Parts Bulk Import

Overview: 

Follow the in-app Bulk Import modal instructions to complete a parts bulk import.

  1. Download the XLXS template
  2. Populate the template according the provided requirements
  3. Upload the completed template to the modal
  4. Optional: Select Overwrite Options
  5. Click Submit

Template Requirements:

The following are required in order to successfully run the Bulk Import template

  • Part Number
  • Supplier 
  • Name 
  • UOM 

The chart below details each column in the template.

Column Header Required? Description & Formatting
Part Number Yes A unique identifier for the part.
Supplier Yes The name of the part's supplier.
en-US Name For new parts Language-specific translation name for a part. At least one translation is required for new parts. See our Language Support Guide.
en-US Description No Language-specific translation description for a part. See our Language Support Guide.
UOM For new parts Unit of Measure (e.g., "each", "unit").
Retail Price No Sets the tenant-level retail price.
Wholesale Price No Sets the tenant-level wholesale price.
Discount Price No Sets the tenant-level discount price.
[Organization Name] / Retail Price No Sets the organization-level wholesale price for a defined organization. Header example: IEC-MODEL / Retail Price
[Organization Name] / Wholesale Price No

Sets the organization-level wholesale price for a defined organization. Header example: IEC-MODEL / Wholesale Price

[Organization Name] / Discount Price No  Sets the organization-level discount price for a defined organization. Header example: IEC-MODEL / Discount Price
Orderable No Determines if the part can be ordered. Allowed values are true or false. Defaults to true.
Visible No Determines if the part is visible. Allowed values are true or false. Defaults to true.
[Tag Internal Name] No Assigns tags to the part. The header must be the tag's internal name. For multiple values, use a | separator. Example: Red|Green|Blue.

Template Tips

The tips below are for preparing the template in Excel. 

  • If you are not using the pricing columns, delete the entire column by right clicking, and selecting Delete. (Optional. Columns may remain with no values as long as Org Name is valid.)
  • If you are not using the Tag column, delete the entire column by right clicking, and selecting Delete. (Optional. Column may remain with no values as long as Tag Name is valid.)
  • You may optionally remove any/all other columns, in the same manner, except the 4 required columns above.
  • All empty optional metadata cells will be ignored.
  • Selecting the column and pressing Delete on the keyboard will not successfully remove the column, and you will receive an error upon processing.

The template provided contains sample data. Be sure to update 'Documoto' in the pricing columns to target the correct organization. 

The final column is for creating and updating Tags. Replace 'Model Number' with the Tag you wish to use.

Optional: Select Overwriting Options

  • Overwrite matching translations
  • Overwrite tag values for matching tags

By default, no translation or tag data is overwritten.

Viewing Submitted Parts Bulk Import Jobs in Job Manager

After the Parts Bulk Import template has been Submitted, Documoto will open to the Job Manager. There are 3 possible results:

  1. Success - A green check icon will appear, indicating success. The message beneath will explain how many parts were updated and/or created.

  2. Partial Fail - a red exclamation icon will appear, indicating their was a problem with completing the job. However, it was partially successful. The messaging will explain what data successfully processed and which rows on the template failed. Select the button beneath the messaging to download the 'Unprocessed Rows Spreadsheet'. Use this to make corrections and reprocess the failed rows as applicable.

  3. Complete Failure - a red exclamation icon will appear, indicating their was a problem with completing the job. Additional messaging will state "No Parts Processed" with the reason.
