Storefront User Group Permissions Considerations
Prior to configuring Storefront User Group Permissions, consider the following:
- Define or map your end-to-end Storefront workflow for each type of user (e.g. dealer, technician, distributor, etc.)
- Define your order/quote statuses and how you plan to leverage them to support your Storefront workflow
Configuring Storefront User Group Permissions
Storefront Permissions are configured in Admin Center > Users > User Groups > select the User Group you wish to edit.
Each Storefront Permission is detailed below.
No Storefront Role Granted
In order submission history (Documoto Library > Account > Orders), if a user does not have the Order Management Viewer or Order Management Approver user group permissions enabled, the user:
- Can view their orders or quotes, only
- Cannot edit the status of their orders or quotes
- Cannot edit the populated fields (e.g. PO Number, address, etc.) in their orders or quotes
- Cannot edit the parts list for their orders or quotes
Order Management Viewer
In order submission history (Documoto Library > Account > Orders), if a user has the Order Management Viewer user group permission enabled, the user:
- Can view their orders/quotes, as well as orders/quotes submitted by other users in their organization
- Can update the status of their orders/quotes, as well as update the status of order/quotes submitted by other users in their organization
- Can add a comment to their orders/quotes, as well as orders/quotes submitted by other users in their organization
- Cannot edit the populated fields (e.g. PO Number, address, etc.) in their orders/ quotes, or populated fields of orders/quotes submitted by other users in their organization
- Cannot edit the parts list for their orders or quotes, or the part list for order/quotes submitted by other users in their organization
Users with the Order Management Viewer permission cannot see orders or quotes submitted by parent or child organizations.
For example, a user group with the Order Management Viewer permission could be designated as "Purchasing" and a user assigned the "Purchasing" user group within an organization. As a result, the user with "Purchasing" user group privileges has the ability to review and approve all orders and/or quotes submitted by users in their organization - before it is sent to the manufacturer. In this workflow, a technician places an order, which triggers a 'Submitted' email notification to be sent to the Purchasing user, who then reviews and approves order, by updating the status of the order to 'Approved', which triggers a separate email notification to be sent the manufacturer.
Order Management Approver
In order submission history (Documoto Library > Account > Orders), if a user has the Order Management Approver user group permission enabled, the user:
- Can view all orders and quotes (submitted by any user) in your Tenant
- Can update the status of any order or quote in your Tenant
- Can add a comment to any order or quote in your Tenant
- Cannot edit the populated fields (e.g. PO Number, address, etc.) in any orders or quotes
- Cannot edit the parts list for any orders or quotes
In general, a user with the Order Management Approver user group permission enabled is typically an internal user who responsible for managing the Storefront within a Documoto Tenant.
Add/Edit Shared Carts
The Add/Edit Shared Carts user group permission enables Documoto's Shared Carts feature so users can manage and share carts across organizations within your tenant. This feature is often used to share lists of parts that should be ordered for scheduled or regular equipment maintenance.
Please be aware that Shared Cart Users will be able to edit and distribute all shared carts within your tenant to any organization in your Documoto instance.
Disable Hide Pricing Button
The Disable Hide Pricing Button user group permission disables the 'Hide Pricing' icon
that appears to the right of a corresponding price label within a BOM on a Parts Page.
In general, the 'Hide Pricing Button' allows dealers to show their customers the Parts Page they are viewing for equipment they may be working on - without showing customers discounted pricing for the OEM parts. 
In turn, if the Disable Hide Pricing Button user group permission is enabled, users will not have the ability to hide pricing information enabled to display within a BOM on a Parts Page.
Disable Shopping Cart
Customers who do no want the Shopping Cart feature available for any, or some User Groups, can select the Disable Shopping Cart user group permission.
Disable Order History
If enabled, the Disable Order History user group permission prevents a user from seeing order submission history (Documoto Library > Account > Orders), but still allows the user to add parts to the Shopping Cart and submit order or quotes.
As a best practice, customers who leverage Generic Users should enable the Disable Order History user group permission to prevent any users leveraging the Generic account from seeing each other's orders.
This permission can only be enabled, if the Order Management Viewer and Order Management Approver permissions are not selected within the User Group
