How Your Documoto Data is Backed Up

Documoto performs backups of both our database and our file storage (images, documents, related files). All back-ups are stored on Amazon S3, with 11 nines of durability and over 99.99% availability.

For our database, we use Amazon’s database service called RDS. Backups are built-in, and we have a 21-day backup retention policy in place. With these backups, we can provide point-in-time recovery of the database. We also use multiple Availability Zones (AZs), an Amazon feature that gives high availability with a hot spare database and automatic failover in case of any problems.

For our file system, we use Amazon's filesystem service called EFS. Amazon EFS is designed to be highly available and durable. All files and directories are redundantly stored within and across multiple Availability Zones in a region to prevent the loss of data from the failure of any single component. We use the Amazon backup service and backups are run nightly. We have a 14-day backup retention policy for the file system.

For our SFTP file systems, we use Amazon’s elastic block store service called EBS. Amazon EBS is a scalable, high-performance block-storage service. EBS has 99.999% availability, with replication and durability, including io2 Block Express volumes. We use the Amazon backup service for EBS as well, and backups are run nightly. We have a 14-day backup retention policy for our SFTP file systems.

Additional high-impact services and systems, including Jenkins, LDAP, VPN, Nexus, and SOLR, are also backed up daily with a 14-day backup retention policy.

Finally, Documoto has a separate process that runs a unique backup across all systems every Saturday. This backup is sent to an entirely separate data region, in the event of a catastrophic or disastrous event in Amazon’s Northern Virginia location, where Documoto is currently housed.
