How to Manage Obsolete Parts in Documoto

Managing Obsolete Parts through Part Supersession

Use Case: An old Part has been replaced with a new Part, which has a new part number. The Content Admin wishes to make the old Part obsolete by replacing it with the new Part.

Method: Use the Supersede feature in Documoto. Once superseded, the old part will be not orderable, but the old part number will still be searchable as a tag associated with the new part number.

Managing Obsolete Parts by Making Parts Non-Orderable

Use Case: A Part has been made obsolete, but has not been replaced by a new part number. The Content Admin wishes to keep the Part in Documoto for reference, but does not want end users to be able to order the Part.

Method: On the Part Info page, toggle the Orderable button to off position. Additional information can be added such as tagging the part as "Obsolete" or editing the part name to include "Obsolete".

Managing Obsolete Parts Using Part Codes

Use Case: A Part is obsolete and the Content Admin wishes to no longer have a part number associated (or does not have a part number available) and for the Part to not be orderable.

Method:  A Part Code replaces the Part Number and allows for a unique Part Name and description, but does not allow for the part to be ordered. Use a Part Code in place of a part number. Common Part Codes used are 'REF' (reference only) and 'PNNA' (part number not available). However, Admin Users can create and use their own Part Codes.
