How to Filter Content
Filters allow users to narrow search results in the Documoto Library so they can quickly locate the right content.

Getting Started With Filters
Within the Documoto Library, filters are available in two places:- Search results pages
- Browse Flow search results
- Type: allows filtering by entity type (e.g. parts, pages, books, documents, etc.)
- Categories: allows filtering by Media Category (e.g. Parts Books, Service Manuals, Operator's Manuals, Bulletins, etc.) which are configured by administrators
How Filters Work
- When a filter is applied, results display only items that match the entered or selected value(s)
- Multiple filters can be applied at the same time, but results must match all applied filters
- If a filters display no values (or returns none), it means none of the current search results contain that tag
How to Apply Filters
- Within the Documoto Library, search or browse to display search results.
- Optional: Filter by Type or Categories by selecting a value.
- Click Filters+ and choose a filter.
- Select or enter the desired value.
How to Clear Filters
- To remove an individual filter, click the X icon

- To clear all filters, click the Clear Filters button

- Going back to the Documoto home page also clears all applied filters.
Types of Filters
In Documoto, filters are tags that:
- Have been configured for use as a filter
- Have been applied to content
The tag's input type configuration determines:
- The filter type (faceted, textfield, or range)
- How users interact with the filter in the Library
| Filter Type | Description |
| Faceted | Displays all available values as a list of checkboxes. Users can select one or multiple values |
| Textfield | Provides a textfield where user types value. Auto-suggest show matches that begin with entered text. |
| Range | Accepts numeric input, with optional prefixes/suffixes. Matches entities tagged within that range |
Faceted Filters
Faceted filters display available filter values as checkbox lists.

- Default state is Any (no values applied)
- The number next to filter values indicate a count of how many items in results match that value; ex. Parts Catalogs (26122)
- When other filters are applied, the number/count adjusts dynamically
- When a faceted filter value is applied, the filter button displays that value (instead of "Any")
- Example: Filter by: Type, Value: Externals

Textfield Filters
- Textfield filters allow users to enter text directly.
- Documoto suggests values using type-ahead, but only when the input matches the beginning of a value
- Example (using the screenshot below)
- 934 - suggests values starting with 934
- HT - no matches (if no values start with HT)

Range Filters
Range tags are not searchable via the search bar. Range tags can only be used as a filter.
- Range filters allow users to filters results by entering a numeric value to search within a numeric range.
- Range filters can also accept prefixes and/or suffixes (if configured by an administrator)
Range filters are most commonly used for serial numbers, where structured formats (ex. prefix + number + suffix) are standard.
- Range filters can be applied using:
- Numeric value only (e.g. 00)
- Prefix only (e.g. HTS)
- Suffix only
- Any combination of numeric value, prefix, and suffix



Sorting Rules for Filters
- Type: Sorts values by count (highest first)
- Categories: Sorts by display order (configured in Admin Center > Content > Media Categories). If no display order is set, sorts by created date.
- Listbox Filters: Sorts by sort type configured in tag editor (Admin Center > Library > Tags)
- Alphanumeric Listbox: Sorts by name, then count
- Numeric Listbox: Converts values to number (if possible) and then sorts by number > name > count
- Textfield Filters: Sorts by name, then count
